This notice explains how Surrey Laser Products uses personal information when you browse this website, contact us, create an account, submit artwork, place an order or leave a review.
Who to contact
Surrey Wood Products, trading as Surrey Laser Products, is the controller responsible for personal information used to run this service. Information we use
- Contact and account information: your name, email address, optional telephone number and account authentication details.
- Enquiry and order information: messages, artwork files, service, material, quantity, price estimates, agreed prices, deadlines, notes, order status and your approvals. If you arrange delivery or receive an invoice, we also use the necessary delivery and billing details.
- Review information: your name, email, rating, written feedback, optional order reference and publication permission.
- Technical information: information sent by your browser when it connects to the site and its providers, such as IP address, browser details and request/security logs, together with the sign-in storage described in our Cookie Policy.
We receive most information directly from you. Authentication and service providers also supply relevant session, delivery or error information. Please avoid including unnecessary personal information about yourself or other people in artwork and messages. Our website forms do not ask for payment card details.
Why we use it
- Enquiries, quotations and orders: to take steps you request before a contract and to perform our contract with you. This includes reviewing artwork, communicating prices, recording approvals and arranging fulfilment.
- Business contacts: where you act for a company rather than personally entering the contract, our legitimate interest is managing that business relationship and completing the company's order.
- Accounts and security: to provide the account service you request and pursue our legitimate interests in protecting accounts, preventing misuse and resolving technical problems.
- Records and disputes: to comply with applicable legal obligations and pursue our legitimate interests in maintaining accurate business records and resolving complaints or claims.
- Review handling: our legitimate interest is understanding customer feedback and checking that submissions relate to genuine experiences. Publication of your review and first name is based on your optional permission, which you may withdraw by contacting us.
We use only the information needed for these purposes. If you do not provide the details needed to respond, authenticate you or fulfil an order, we may be unable to provide that part of the service. Creating an enquiry or account is not permission for unrelated promotional emails.
Who receives information
Information is accessible to those who need it to handle your enquiry or order and to the providers supporting the service:
- Supabase: account authentication, customer/order records and uploaded artwork storage.
- Formspree: delivery and processing of contact forms, review submissions and order-notification messages.
- Resend: sending order-confirmation and invoice emails when that email service is used.
- Website and email infrastructure: hosting and technical delivery providers. The site loads fonts from Google Fonts and assets from jsDelivr, which receive browser connection information when those resources load.
- Fulfilment and administration: delivery providers, professional advisers and authorities where necessary for your order, a legal obligation or a claim.
Your email address and order reference are not published with a review. Artwork is supplied for enquiry and production purposes; identifiable customer projects are not intended for public display without separate permission.
International processing
Some providers operate internationally and may process information outside the UK. Where a restricted transfer is involved, an appropriate legal safeguard is required, such as an applicable adequacy arrangement or approved contractual safeguards. Contact us for details of the arrangements relevant to your information and how to obtain a copy of the safeguards, subject to necessary redactions.
How long information is kept
Retention depends on the purpose. Enquiries are kept while needed to respond and manage reasonable follow-up. Order, invoice and approval records are retained for applicable accounting, tax and legal-claim requirements. Artwork is kept for the agreed work and related support or an agreed repeat-order purpose, rather than indefinitely merely because it was uploaded.
Account information is kept while the account is needed, subject to records we must retain independently of the account. Review information is kept for handling feedback and any permitted publication; withdrawal of publication permission does not necessarily require deletion of separate order or complaint records. Security logs and backups follow the relevant service's retention arrangements. Contact us about a particular record or to request deletion; we will explain any reason it needs to be retained.
Your choices and rights
Depending on the circumstances, you may request access, correction, deletion, restriction or a portable copy of your personal information. You may object where we rely on legitimate interests, and you may withdraw consent where we rely on it. Withdrawal does not affect processing already lawfully carried out. These rights are subject to their legal conditions.
Send requests to laser@surreywoodproducts.co.uk. We may need proportionate information to verify your identity. You can also complain to the Information Commissioner's Office; you do not have to complain to us first.
Automated estimates and policy changes
The price calculators apply entered material, dimensions, complexity and quantity to pricing formulas. A team member reviews the enquiry before a final price is confirmed; the calculator does not itself accept or reject your order. We will update this notice if the service or our information practices change, and highlight material changes where appropriate.
